Overview

Auto Book is a powerful scheduling feature that automatically books appointments for your containers. But before you turn it on, you need to set up Capacity Management to ensure Auto Book doesn't over-book your operation. This guide walks you through both features so they work together perfectly.


Before You Begin

What is Auto Book?

Auto Book is your personal scheduling assistant. It automatically finds and books appointments for your containers based on rules you define — like a smart assistant that works 24/7 to get your containers moved at the exact times and days that work best for your business.

Why Capacity Management matters first?

Auto Book finds appointments automatically, but Capacity Management ensures you don't get more appointments than your operation can handle. Without capacity limits, Auto Book could book so many appointments that your drivers and resources get overwhelmed.

⚠️Warning

Set up Capacity Management first, then enable Auto Book. This prevents overbooking while letting Auto Book do its job efficiently.

Set Up Capacity Management

    Open the Capacity menu

    Click the Capacity menu.

    Enable Capacity Management

    Turn on Capacity Management.

    Set the bucket width

    Set your bucket width. A 3-hour width is recommended.

    Configure appointment capacity

    Set the appointment capacity for each time slot.

    Apply across multiple days

    Apply your capacity settings across multiple days.

Setting Up Capacity

Enable Auto Book

    Select containers

    Select the containers you want Auto Book to schedule.

    Open Auto Book

    Select Auto Book from the Actions dropdown.

    Set the Dispatch Buffer

    Set how many hours you need to get a driver to the appointment.

    ℹ️Note

    The default is 12 hours, recommended for containers that are still On Vessel.

    Choose an Appointment Day Preference

    Pick how Auto Book should prioritize dates:

    • First Available — as soon as possible
    • Before Last Free Day — by the deadline, with preferred times
    • Custom by Date — specific dates only
    • Custom by Day of Week — e.g., "Tuesdays and Thursdays"
    • Relative to Last Free Day — e.g., "4–5 days before deadline"

    Review Day & Shift restrictions

    Select or deselect additional options as needed.

    Configure Time Preferences

    Set a priority level for each time slot:

    • High — strongly preferred
    • Medium — good option
    • Low — last resort
    • Not Allowed — never book here

    Turn on Auto Book

    Click Turn On. Auto Book is now active.

How to Enable Auto Book

Robot Icons

Auto Book shows a robot icon on each container to indicate its status:

Key Reminders

📌Important
  • Capacity limits apply to Auto Book — once you hit the limit, Auto Book stops.
  • All appointments count toward capacity (manual, auto, and terminal).
  • Only import loads count.
  • Define capacity for all operating hours.
  • Manual bookings can bypass capacity if needed.
